What's Really Behind a Card Swipe

A Simple Guide to Your Payment Stack
By Barry L. Prentice · Oct 26, 2026
"I just need a gateway," and other things merchants tell us
Accepting a card payment takes about two seconds. Behind those two seconds, at least six different pieces have to work together perfectly.
We hear it all the time: "I just need a gateway." "My shopping cart handles the payments." "I bought a terminal, so I'm all set." Each of those is one piece of the puzzle. None of them is the whole thing.
This isn't your fault. The payments industry is full of jargon, and most providers only explain the piece they sell. So let's slow down and explain it the way you'd explain it to a five-year-old: simply, one piece at a time.
The pieces, explained like you're five
Imagine your customer's payment is a letter that needs to get from their bank to yours. Each piece of your payment setup does one job in getting that letter delivered.
- Hardware and point of sale (POS): the mailbox. This is the terminal, card reader, or register software where your customer taps, dips, or swipes. It's where the letter gets dropped off.
- Shopping cart: the online mailbox. This is the checkout page on your website. It does the same job as a terminal, just on the internet.
- Gateway: the locked envelope. This secure software scrambles the card details and passes them along, so nobody can peek inside.
- Processor: the mail carrier. This company picks up the transaction and carries it between you, the card networks, and the banks.
- Card networks: the roads. Visa, Mastercard, Discover, and American Express connect every bank to every other bank.
- Merchant account and sponsor bank: your mailbox at home. This is your account for receiving card payments, backed by a bank that belongs to the card networks. It's where the money finally arrives.
Notice what's missing from that list: there's no single piece that does everything. A gateway can't move money on its own. A shopping cart doesn't approve cards. A terminal is just a box until it's connected to everything behind it.
How a payment actually travels
Every time a customer pays, their payment runs a relay race. Each piece passes it to the next, and if any one of them drops the baton, the sale fails.

How one card payment travels · 6 stops
The approval comes back in seconds, but the money itself moves later, when your day's sales settle into your merchant account.
Can you put it together yourself? Yes. Here's the catch.
Let's be honest: you don't need anyone's permission to build your own payment setup. You can buy a terminal from one company, a gateway from another, and open a merchant account with a third. Plenty of merchants do.
The hard part isn't buying the pieces. It's making them work together. Think of it like building with blocks from three different toy sets: they might fit, or they might not, and you usually find out after you've paid for them.
Here's where do-it-yourself setups tend to get stuck:
- Compatibility. Not every terminal works with every gateway, and not every gateway connects to every processor. A mismatch can mean buying new hardware.
- Integrations. Your POS, shopping cart, and accounting software each need to "talk" to your payment setup. Every connection is something to configure, test, and maintain.
- Multiple bills and statements. Separate providers mean separate fees, separate contracts, and statements that are hard to compare.
- Finger-pointing. When a payment fails, the gateway blames the processor, the processor blames the terminal, and you're stuck in the middle with a customer waiting.
- Security and compliance. Each piece touches card data, so each piece affects your PCI compliance and your risk.
None of this is impossible. It just takes time, technical know-how, and patience that most business owners would rather spend running their business.
What an orchestrator like TruuPay does
If the pieces are instruments, TruuPay is the conductor. We don't replace the pieces; we make sure they play together.
That means we:
- Match the pieces to your business. A restaurant, a smoke shop, and an online store need different setups. We pick hardware, gateway, and processing that fit how you actually sell.
- Handle the connections. We make sure your terminal, POS, shopping cart, and gateway are compatible and integrated before you go live, not after.
- Give you choices behind the scenes. TruuPay works with multiple processors and sponsor banks, so we aren't forcing your business into a one-size-fits-all option.
- Be your one phone call. When something goes wrong, you call us. We sort out which piece is the problem so you don't have to.
- Keep pricing clear. One relationship, one point of contact, and pricing you can actually understand.
You still own your business decisions. We just take the puzzle-building off your plate.
Five questions to ask about your setup today
Whether you build it yourself or work with a partner, you should be able to answer these:
- Who is my processor, and who is my sponsor bank?
- Which gateway am I using, and does it work with my terminal and my shopping cart?
- If a payment fails, who do I call first?
- How many separate companies am I paying for payments, and what am I paying each one?
- If I add a location, a website, or new software, will my setup still work?
If any of those made you pause, you're not alone. Most merchants have never been shown the full picture. Once you see all the pieces, it's much easier to decide whether to manage them yourself or let someone orchestrate them for you.
